Medical Education Week 2018

The 7th Annual William Davidson Medical Education Week will be held May 14 – 18, 2018. You are invited to submit a poster abstract on topics in medical education.  A formal poster session and reception will be held on Wednesday, May 16 at 9:15 a.m., following the annual William Davidson Lecture at Beaumont Hospital, Royal Oak. Poster Award Certificates will be presented at the beginning of the poster session to the top poster in each of the following:

Educational Innovation - These posters will describe a current program/project undertaken or implemented in medical education. 

Educational Research - These posters will describe a project in educational research and must include results.

Call for Poster Submissions
Requirements for Poster Abstract and Review

Eligibility for Submission

Submissions are open to all OUWB and Beaumont affiliates involved in medical education, including faculty, clinicians, staff, students, and residents. At least one author must be affiliated with the OUWB School of Medicine.  Please submit your abstract through the online submission form.

Poster Abstract Requirements

Educational Innovation abstracts are limited to 300 words, must contain the following sections: Objectives, Approach/Process, Educational Outcomes, and Evaluation Methods, and must be related to medical education.

Educational Research abstracts are limited to 300 words, must contain the following sections: Introduction, Methods, Results, Conclusions, and must be related to medical education.

Additionally, you will be asked to provide a one sentence description on how your submission connects with the theme of medical education.

For projects with human subjects data, please include your IRB approval number on your poster.

Poster Review

Poster abstracts will be reviewed by the poster committee and selected based on clarity, organization, applicability to medical education and innovation.

Poster FAQ Information

Who is eligible to submit a poster abstract?

All Oakland University, OUWB, or Beaumont affiliates including faculty, clinicians, staff, residents, and students may submit a poster abstract.

At least one author on your poster must be affiliated with the OUWB School of Medicine.

What poster topics are eligible?

There are two categories of posters this year:

  • Educational Research - These posters will describe a project in educational research and must include results.
  • Educational Innovation - These posters will describe a current project/program undertaken or implemented in medical education. They do not require results but do need to describe expected outcomes and an evaluation plan.

How and when do I submit a poster abstract?

All abstracts must be submitted by Monday, February 5, 2018 at 11:59 p.m. using the online submission form.

What is the required format for the poster abstract?

Educational Innovation abstracts are limited to 300 words, must be related to medical education, and must contain the following sections:

Educational Research abstracts are limited to 300 words, must be related to medical education, and must contain the following sections:

  • Introduction

  • Discussion/Conclusions

For projects displaying human subjects data, please include your IRB approval number on your poster.

In addition, each abstract must include a title and all author names. Please include each author’s credentials (ie: PhD, MD, MS-4, etc), department affiliation, and email address. All authors will be notified of abstract submission.

How will my poster abstract be evaluated for acceptance?

Abstracts must meet evaluation criteria in order to be accepted.  All poster abstracts will be blinded (all names and identifying information will be removed) and be reviewed by the Medical Education Week Poster Committee based on the abstract rubric. The reviewers will evaluate poster abstracts based on the originality of the content as well as how well each of the above sections are written in terms of quality, clarity, organization and internal consistency (appropriateness of methods, evaluation plan, etc.).

Authors of abstracts that do not meet the evaluation criteria will be contacted with one opportunity to revise their abstract.

When will I be notified if my abstract has been accepted?

You will receive an email no later than March 2, 2018 informing you of acceptance.

Will there be awards given out this year?

A certificate will be awarded to each of the authors of the top poster in each category.  The certificates will be handed out at the poster session.

Can I submit a poster abstract that I have previously presented at another meeting or conference?

Yes, you may submit an abstract you have previously presented.  However, you will need to modify the poster to match our template.

Does my abstract need to reflect completed projects or research?

Educational Research posters should reflect projects that are complete or mostly complete with results.

Educational Innovation posters do not need to contain results or completed outcomes, but should describe the expected outcomes and how the educational project/program will be evaluated.

Do I need IRB approval to present at Medical Education Week?

If your poster will include human subjects data, you need to have IRB approval in time to present your poster, and must include your IRB number on your poster.

Do I need to follow a particular template for creating the posters?

Yes, the template will be provided within the poster acceptance email in March.

If my poster abstract is accepted, am I required to attend the poster session on Wednesday, May 16, 2018?

While you are not required to attend, we strongly encourage at least one author to be present at the poster session, starting around 9:15 a.m. on Wednesday, May 16, 2018.

Will I need to print out my poster?

No, the committee will handle all printing logistics. You simply need to send a digital file of your poster to ceme@oakland.edu.

When do I need to submit my digital file for my poster for printing?

Digital poster files are due April 9, 2018 by 11:59 p.m. to ceme@oakland.edu.

In what format(s) should I submit my digital poster file?

Please submit your digital poster file in both .PPT and .PDF formats.

Who should I contact if I have additional questions regarding poster abstracts or posters?
