Account Managers are responsible for keeping our database of photos organized and searchable.  

How to archive photos
  • You will receive a disk from the photo shoot you scheduled.
  • Access the Portfolio server (smb://ucm.oakland.edu) and log in with your ADM id and password.
  • Select "Portfolio" from the list.
  • Drag the images into the appropriate folder (create a new folder for shoot with job number OR create a new folder under "Provided Photos" for photos you may have received from client).
  • Images added to the server will automatically populate into the Portfolio client.
  • Now you need to launch the Portfolio client and find your newly added photos (they will be in the appropriate folder near the bottom left corner).
  • Once you find your photos, select each one and add keywords in the description box. BE AS SPECIFIC AS POSSIBLE WITH KEYWORDS. The more information you include in the description, the better the database -- and in turn, your future projects! Include job number (most important!), information about photo restrictions (ex: restricted use before publication of OU Magazine 2014), individual names, locations, school/college associations, actions, etc. Remember to separate keywords by commas and clicking "Submit" when you're done.  
How to search the archives
  • Launch the Portfolio client.
  • Open the catalog list drop-down and select the year you would like to search from. Unfortunately, you may only search one year at a time. 
  • DO NOT USE THE QUICKFIND FUNCTION. It will not pull the appropriate metadata for a successful search. Instead, click on the magnifying glass to open the find panel. The consists of two drop-down menus, a text box and a plus or minus button. 
  • To run a search, the first drop-down should always read "Description," the second should read "Contains" and then add your keyword in the text box. To search multiple words, click the plus symbol. 
  • Click to highlight the image you want to download, then click "Dowload" at the top and then "Download Original." 
How to make a PDF contact sheet
  • Conduct your search and click the little flag in the top right corner of each picture you want on the contact sheet. 
  • Click "Flagged Items" in the left-hand panel. It will show you all the images you flagged. 
  • Next select "Make PDF" from the top navigation. Select how many images you want to appear per page. 
  • This will generate a PDF that you can download.
