   Academic Peer Mentor
Department:

RESPONSIBILITIES

The Academic Peer Mentor program, administered by the Department of University Housing, is a program to work with first-year students in their residence halls to bolster their academic skills and to help them work with the appropriate campus resources to address their concerns. The Academic Peer Mentors work with various Academic unities and the Department of University Housing to coordinate the delivery of academic advising resources and support programs. Academic Peer Mentors serve as an academic support system for students as they face new challenges and concerns during their first year of college through graduation. Peer Mentors are trained to point students to the Student Success Assistant, faculty and other academic support professionals on campus, as well as help in the development of important study skills such as time management, reading and note-taking.

 CONDITIONS OF EMPLOYMENT

1. A minimum 3.0 GPA and in good standing with the University.

2. Peer mentors must be free of student conduct sanctions and uphold the University’s Student Code of Conduct at time of application and throughout employment.

3. Two letters of recommendation attesting to the reliability and responsibility of the applicant. At least one of the letters must be from a faculty member.

4. A working knowledge of Oakland University campus resources and support services in order to make referrals for students.

5. Perform duties as assigned by the Department of University Housing.

6. Strong communication and organizational skills.

 EMPLOYMENT POLICIES AND EXPECTATIONS

1. Attend all meetings and training sessions in order to help students with appropriate referral making, use of campus resources.

2. Make weekly contact with students in your residence hall to mentor students on study skills, time management and other academic success concerns.

3. Organize and promote building wide study groups/programs/events.

4. Become a certified tutor and maintain requirements through the Tutoring Center.

5. Understand and abide by Oakland University Housing policy and the University Code of Conduct.

6. Meet regularly with the residential life staff of your hall to discuss issues and concerns you are addressing with your student population.

7. Meet biweekly with other Academic Peer Mentors to plan upcoming events, programming and discuss trends.

8. Visit floor meetings to discuss and promote the roll of the Academic Peer Mentor.

9. Compose letter to residents introducing the Academic Peer Mentor role and campus resources.

10. Develop academic success bulletin boards for the residence halls as appropriate.

11. Meet bi-weekly with your supervisor to discuss requirements, student concerns, etc.

12. Assist in reaching out to “high risk” students to encourage contact with the SSA, academic advisor, faculty, etc.

13. Act in accordance with all Housing Staff Policies as outlined in the Housing Staff Manual.

 

Position:
   Apartment Community Assistant
Department:

   Apartment Manager/Apartment Community Graduate Assistant

RESPONSIBILITIES

The Apartment Community Assistant will be responsible for assisting the Manager of Student Apartments in carrying out the daily and managerial responsibilities of the University Student Apartments, which houses 459 residents. The Apartment Community Assistant is a residential apartment student who is hired to be available, advise, counsel and interact with residents in the University Student Apartments.  In addition, he or she will be an assistant to the Manager and provide administrative support as needed.

CONDITIONS OF EMPLOYMENT

1. In order to apply for an ACA position a student must be in good academic and disciplinary standing with the university.  (at least a 2.75 minimum grade point average).

2. At the time of employment the applicant must have attained eligibility to live in the apartments

3. The applicant’s student account with the university must be current at the time of employment and must be a registered student.

4. Previous live in experience required.

5. The period of employment for the Apartment Community Assistant is one year

6. Each ACA must attend in-service training sessions during the academic year and is required to participate in training prior to the fall and winter semester.

7. Inherent in the ACA position is a substantial commitment of time.  The Apartment Community Assistant is expected to give priority to this position over all other areas of activity except his or her academic work.  The supervisor  must approve any exceptions.

8. At the beginning of each semester, the Apartment Community Assistant must submit his or her schedule of classes and other commitments to their supervisor.

9. The Apartment Community Assistant will not be allowed to retain their position while student teaching and/or doing an internship unless approved by the Manager of Student Apartments. If any exceptions are to be made, the Manager of University Housing Apartments in consultation with the Assistant Director of Residence will work it out.

10. Apartment Community Assistant may be allowed to have only 10 hours per week of employment outside of the Apartment Community Assistant position.  Requests are to be made to the Manager of University Housing Apartments.

11. Every Apartment Community Assistant must fill out forms designated by the Student Financial Aid Office.

12. An Apartment Community Assistant is hired to render services to the Department of University Housing.  If problems or concerns arise during the year, the ACA maybe expected to provide help outside of the University Student Apartments.

EMPLOYMENT POLICIES AND EXPECTATIONS

1. At the beginning of each year, the Apartment Community Assistant is required to spend a maximum amount of time in his or her building assisting the residents within this residential unit, the University Student Apartments.  These responsibilities will include but not limited to administrative details such as explaining the University Housing policies and procedures as they relate to the student apartments; check-in/check-outs, inventory and apartment inspections. 

2. The ACA is responsible for all aspects of their area.  It is expected that the ACA will make her/himself reasonably available to residents and create an inviting environment that encourages residents to get to know him/her.

3. The ACA is expected to spend a maximum amount of time in his or her building and the community house trying to get to know the residents well enough to notice problems residents might be having and to be available, to advise and counsel students.  It is required that the ACA spend four nights a week in the building in addition to regularly scheduled duty nights. 

4. ACA are expected to be available during the week and most weekends.  In order to leave campus, it is necessary that the ACA submit their request in writing to the Manager.  The Manager will then review such request and permission will be granted or denied depending upon the staffing needs in the University Student Apartments.  Each ACA will be allowed two weekends off each semester.  The manager will also establish a rotating duty roster at the beginning of each semester.

5. The ACA is expected to attend all staff meetings and provide building/complex coverage according to the system developed by the Manager. 

6. The schedule for duty and staff meetings will vary depending on the needs of the apartment community.

7. The ACA is responsible for certain administrative tasks as outlined by the Manager and the Assistant Director of Residence Life.  These administrative tasks include performing routine clerical tasks, working as receptionists during open building hours; participating in University Student Apartments policy making decisions as required; supporting, enforcing and participating in improvement of University Student Apartment policies; acting as a liaison between students, and residential life staff members; distributing information and bulletins and feeding back student suggestions and desires; assistance in supervision of University facilities, particularly in the University Student Apartments; preventing damages and misuse of the facilities; and implementing University policies and procedures.

Position:
   Bear Bus Driver
Department:

   Bear Bus Supervisor
 

RESPONSIBILITIES
Responsible for driving the Bear Bus, logging ridership, and reporting maintenance issues as they arise.

SUPERVISION RECEIVED
Bear Bus Drivers are directly supervised by the Bear Bus Coordinator and Bear Bus Supervisors.

CONDITIONS OF EMPLOYMENT

Students hired as Bear Bus Drivers must be in good academic standing (minimum 2.75 GPA).
They must be in good disciplinary standing with the University and University Housing. All
drivers must have a Chauffer’s License, be able to attain a Commercial Driver’s License-C
(CDL-C) with Passenger endorsement and be cleared by Risk Management to drive.

EMPLOYMENT POLICIES AND EXPECTATIONS

1. Responsible for driving both/either on-campus or off-campus route(s)

2. Take out trash at end of shift

3. Fill gas tank when below ½ tank at end of shift

4. Logging number of riders

5. Attend mandatory driver training, including Special Drives

6. Other duties as assigned

Position:
   Desk Receptionist
Department:

Reports to:
   Desk Supervisor

RESPONSIBILITIES
Provide services and campus Housing information to residence hall students and guests; create a
welcoming environment in the residence halls and a central location for the exchange of information.
Work to ensure student mail is complete and accurate.

SUPERVISION RECEIVED
Desk Receptionists are directly supervised by the Desk Receptionist Supervisors and indirectly by the
Operations Graduate Assistant

CONDITIONS OF EMPLOYMENT

Students hired as Desk Receptionists must live on-campus and be in good academic (minimum 2.75
GPA) and disciplinary standing with the University and University Housing.

EMPLOYMENT POLICIES AND EXPECTATIONS
1. Provide campus information and good customer service

2. Sorting and delivery of mail to residents as well as mail forwarding

3. Checking in packages as described in the training manual

4. Sale of postage stamps

5. Making change

6. Vending refunds

7. Participate fully in all staff trainings

8. Distribution of cleaning equipment

9. Attend bi-weekly staff meetings

10. Be on-time for all shifts (On time means at least 5 minutes early)

11. Other duties as assigned

12. Carry out all Desk Receptionist functions as described in the Training Manual

Position:
   Nightwatch Desk Worker
Department:

   Nightwatch Supervisors/Security Coordinator


RESPONSIBILITIES
The Nightwatch desk worker’s responsibilities consist of greeting students and guests, checking and scanning ID’s of residence halls students, signing guests in, maintaining a log of guests, following NW guidelines, and following Housing protocol.

CONDITIONS OF EMPLOYMENT
You are expected to be in good academic and disciplinary standing in the residence halls and the university.  You must have a 2.75 or above semester and cumulative GPA to maintain your Nightwatch position.

EMPLOYMENT POLICIES AND EXPECTATIONS
1. Working both one early shift (8pm-1am) and one late shift (1am-5am) every week (Sunday-Thursday), along with two shifts every other weekend (Friday-Saturday). 

2. Arriving promptly at 7:45/9:45pm to set up the NW station so it is completely set up and ready to go at 8:00/10:00pm.  For the late shift (1-5am), you can begin breaking down your station no earlier than 5:00am.

3. Make sure the appropriate doors are locked in the building you are working in.  Call in the alarm with OUPD at the beginning of the early shift and at the end of the late shift.

4. Checking the validity of residence hall students by swiping their student ID and checking their picture, and signing in all students/guests that do not live in the OU Residence Halls community with the proper ID.

5. Attend one NW meeting per month, and any other NW training/meetings that are scheduled.  These meetings are mandatory, and you will be given the dates in advance to provide ample planning.

6. NW staff members are employed by the Dept. of University Housing and are a part of residence halls staff.  NW desk workers are expected to abide by all residence halls policies and procedures and model the residence halls community standards of behavior, especially respecting the rights of other students and staff, as well as providing the kind of living environment that is most conducive for successful academic achievement and personal development.  NW staff members are expected to be fair and consistent, and to provide quality customer service while performing his or her duties and responsibilities.  This includes working together with Resident Assistants and Hall Directors.

7. Act in accordance with the Housing Staff Attire Policy; specifically as it applies to the Nightwatch program.  All NW staff must wear their NW t-shirts or sweatshirts while on duty.  Attire representing other colleges or universities is unacceptable attire while on duty.  The Housing Staff Attire Policy can be found in detail in the Housing Staff Manual. 

8. All NW staff members are responsible for the upkeep of their NW stations/office to ensure that they are tidy, free from food and trash, and stocked with appropriate documentation forms.

9. Abide by the Clery Act and carry out your responsibility to report crime on campus as a Housing Staff member.  The Clery Act can be found in detail in the Housing Staff Manual.

10. Act in accordance with all Housing Staff Policies as outlined in the Housing Staff Manual.

   Resident Assistant
Department:

RESPONSIBILITIES

The Resident Assistant (RA) is a student who is hired to be available to mentor residents of a particular floor on academic, personal, social, and financial matters. In addition, he or she performs administrative duties in connection with the general management of his or her hall and with the total Residence Halls system. A major portion of the RA’s job will be to actively influence the environment and encourage students to participate in programs and activities through leadership and availability.

CONDITIONS OF EMPLOYMENT

1. Each Resident Assistant is contracted for the academic year.

2. RAs must be enrolled in 12 credit hours per semester, and maintain a 2.75 GPA (both cumulative and semester).

3. Resident Assistants will not be allowed to retain their position while student teaching and/or doing an internship.

4. RAs will be allowed to have only 10 hours per week of employment or extracurricular activities outside of the Resident Assistant position.

5. Each Resident Assistant must attend monthly in-service training sessions during the academic year and is required to participate in training prior to the Fall and Winter semesters.

6. In order to be paid, every RA must fill out the appropriate forms as designated by the Financial Aid Office.

7. An RA is hired to render services to all Residence Halls. If problems come up during the year an RA may be expected to provide help outside his or her hall.

8. Evaluations of the Resident Assistant’s effectiveness in terms of the above statements and expectations of the Hall Director will be on-going. Employee Discipline procedures will be followed in the event that a staff member does not fulfill the expectations outlined in the Position Description.

9. RAs are expected to leave the buildings at the end of their contracted period of employment.

EMPLOYMENT POLICIES AND EXPECTATIONS

Community Development

1. Become acquainted with and build rapport with every resident on the floor.

2. Be available to residents by posting a schedule on the door and spending a maximum amount of time on the floor.

3. All nights must be spent in RA’s own room unless prior approval is obtained by the hall director.

4. Foster a community that is supportive for all residents by promoting acceptance and understanding of diverse backgrounds.

5. Help new residents adapt to living on the floor as changes occur.

6. Act as a positive role model for residents of the floor.

7. Mildly disagreeable working conditions involving working in an environment with limited privacy and noise.  Staff must frequently respond to situations at any time of the day and night.  The job requires moderate physical effort when responding to emergencies.

Resident Advising/Mentoring

1. Act as a mentor for residents with academic, personal, social, financial, or other concerns.

2. Refer residents to appropriate campus and community resources as necessary.


Programming

1. Plan and implement programs to foster community and to educate residents on issues pertinent to their development.

2. Work with the Senior Resident Assistant to develop a program plan for the semester in accordance with the Residence Life program model.


Administrative Duties

1. Attend weekly staff meetings and 1-on-1 supervision meetings as scheduled.

2. Participate in duty rotation as determined within individual staffs.

3. Complete all assigned paperwork (Weekly Reports, Duty Logs, Program Forms, etc.)

4. Participate in Opening and Closing the Residence Halls during all recesses.

5. Hold regular floor meetings and assist with getting residents to building meetings.

6. Support and enforce all University and Residence Halls policies.

7. Participate in an Ancillary Committee, as assigned and assist with committee projects

8. Report all building maintenance concerns including public area damage and follow up to ensure completion

9. Act in accordance with the Clery Act and carry out your responsibility to report crime on campus as a University Housing Staff member.  The Clery Act can be found in detail in the Housing Staff Manual.

community. Executive Board members will be responsible for maintaining
communication with other campus organizations, residence hall staff, and residence hall
students. In addition executive board members will create programs promoting the
housing core values. Verbal contact with supervisors is expected on a regular and
frequent basis. Written reports may be expected concerning specific situations.

SUPERVISION RECEIVED

The RHA Entertainment Coordinator is supervised by the Programming Graduate
Assistant/Hall Director

CONDITIONS OF EMPLOYMENT

1. Have at least a 2.75 cumulative G.P.A. and be in good academic standing.

1. Scout new talent and entertainment to bring to campus

2. Work with Vice President of Programming on logistics of programs (i.e. ordering

6. Meet bi-weekly with RHA Vice-President of Programming and maintain open
communication with the RHA advisor(s)

Position:
   S.O.P.E. Ambassador
Department:
   University Housing
Reports to:
   S.O.P.E. Supervisor

RESPONSIBILITIES
The Ambassador will aid the S.O.P.E. Supervisor in implementing campus wide programs to promote
sustainability and to educate students, faculty, and staff about environmental practices. Programs include, but are
not limited to the Eco-Conference, Organic Dinner, and Eco-Leader Banquet. Besides planning programs, the
Ambassador will serve as the conduit between faculty, staff, students, and the S.O.P.E.s. As such, the Ambassador
will be voice of the S.O.P.E.s on campus, working not only to implement large-scale programs but also to
complete sustainable projects.

SUPERVISION RECEIVED
S.O.P.E. Ambassadors are directly supervised by the S.O.P.E. Supervisor and indirectly by the Maintenance
Manager.

CONDITIONS OF EMPLOYMENT

In order to retain this position the Ambassador must maintain a GPA of 2.75 or higher and must live on campus.
They must also be in good disciplinary standing.

EMPLOYMENT POLICIES AND EXPECTATIONS

1. Projects: The Ambassador is expected to work on at least one project per semester. A project requires
employees to take initiative on the needs in their area. It differs from a program because students will be
actively implementing changes on campus. Whether they are lobbying to “green” buildings on campus or
begin recycling programs in new locations, all projects should have the goal of making Oakland a more
sustainable and eco-friendly campus.

2. Duties: Aside from serving as the liaison between S.O.P.E. activities and the University, the Ambassador
may also be called upon to assist the S.O.P.E. Supervisor. Tasks may include monitoring employees,
verifying that time cards are turned in promptly and filled out correctly, attending various S.O.P.E.
programs, and hosting meetings in the event that the supervisor is unavailable. The supervisor is, however,
still responsible for the confirmation and approval of all projects.

3. Fulfill S.O.P.E. staff obligations: Attend all bi-weekly group meetings, and weekly one on ones. All
weekly reports must be submitted on time to the S.O.P.E. Supervisor. Keep an open mind, a positive
attitude, and remember to maintain a sense of professionalism.

4. Act in accordance with all Housing Staff Policies as outlined in the Housing Staff Manual.
